The Yoga Therapy Association respects the privacy of our members and visitors to our websites. This policy is concerned with how we collect information, what we do with it and what controls you have.

This policy explains how we collect and process your personal information; it tells you about your privacy rights and how the law protects you. For the purpose of this policy the term ‘we’, ‘us’ or ‘our’ refers to Yoga Therapy Association and the term ‘process’ means collect, store, transfer, use or otherwise act on information.

The type of personal information we collect

We currently collect and process personal information about you including your full name, postal address, telephone number(s) and email address.

Additional information about you may also be collected, e.g. date of birth, gender, occupation/qualifications, and professional insurance. This will be made clear at the point of collection of such information and we would only do so with your specific consent.

If you give us information about another person, e.g. emergency contact details, you confirm that the other person has appointed you to act on their behalf and agreed that you shall consent on their behalf to the processing of their personal data and shall receive any data protection notices on their behalf.

How we get the personal information

We collect your personal information in the following ways:

  • When you provide it to us directly.

  • when you give permission to other organisations to share it with us (this includes social media networking sites such as Facebook or Twitter).

  • when we collect it as you use our website.

  • when you have given permission for a third party to pass your information on to us.

  • from publicly available sources (where possible) to keep your information up to date (e.g. the Post Office’s National Change of Address database).

If you provide information via different methods, we will amalgamate this provided we can be assured information relates to the same person to avoid duplication.

Why we collect the personal information

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • to make an enquiry in relation to the services we provide

  • to register for membership of the Yoga Therapy Association

  • to receive newsletters and campaign updates

  • to provide feedback

  • to register for events

We use the information that you have given us in order to fulfil your request, to enable us to provide you with the services we provide, and/or for volunteering roles. You don't have to disclose any of this information to browse our website. However, if you choose to withhold requested information, we may not be able to provide you with certain services.

Sharing Information

We would only disclose information in the following circumstances

  • to third parties or individuals when obliged to by law, for purposes of national security, taxation and criminal investigations.

  • if you have agreed that we may do so, e.g. to refer you on to alternative service not provided by us and you have consented for us to share this information.

  • when we use other companies to provide services on our behalf, e.g. processing membership, answering enquiries about products or services, sending mail and emails, customer analysis, assessment and profiling, for financial audit and advice or processing credit/debit card payments.

  • if we receive a complaint regarding content you have posted or transmitted to or from our website or social media sites, to enforce and/or apply our Terms and Conditions or if we consider that we need to do so to protect and defend the rights, property or personal safety of the Yoga Therapy Association, our website or our visitors, and for other lawful purposes.

  • we may disclose accumulated or combined statistics about membership sales and site visits to describe our services and operations and for other lawful purposes, these statistics will not include any personal identifiable information.

  • if we organise an event in partnership with another organisation(s) your details may need to be shared. We will be transparent on the use of your data when you register.

We will never sell your personal information to other organisations.

We may use profiling/screening methods to create pertinent communications and provide a better experience for our members. Profiling can assist us in focusing our resources more effectively to gather insights on our supporters and help to build connections relevant to member interests.

We will maintain information about your preferences so that we can respect your wishes for future contact by us.

All personal data processed by our staff and volunteers in the UK will be handled in accordance with guidance issued by the Information Commissioner’s Office (ICO).

Legal Basis for Holding Information

Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:

A) Your consent; Wherever possible, we aim to obtain your explicit consent to process this information. We continue to process your information on this basis until you withdraw your consent or it can be reasonably assumed that your consent no longer exists. You are able to withdraw your consent at any time. You can do this by contacting us at admin@yogatherapyassociation.org

B) Contractual obligation; When you buy a service from us a contract is formed between you and us. In order to carry out our obligations under that contract we must process the information you give us. Some of this information may be personal information to: a) verify your identity, b) verify yoga therapy qualifications, c) provide you with our services, and d) provide you with suggestions and advice in relation to the services we provide. We process this information on the basis that there is a contract between us, or that you have requested we use the information before we enter into a legal contract. We shall continue to process this information until the contract between us ends or is terminated by either party under the terms of the contract.

C) Legitimate interest: The information we use is your name, telephone number and/or email address to keep you informed of information about membership, our activities that you have requested and services for marketing purposes because you have either a. attended an event in the past b. signed up to receive these messages or c. have expressly asked to be put on our mailing list for the purposes of being kept informed. We are not impinging on any of your rights and interests.

How we store your personal information

Your information is securely stored on a password protected cloud-based storage accessed by elected committee officers. Documents are password protected. We hold your information as long as is necessary for the particular purpose for which we have collected it.

If you request to opt out of future communications, we will retain some basic information to refrain from sending you undesired information or communications in the future and avoid sending duplicate information unintentionally. Should you want us to delete any retained basic information that please contact us by emailing admin@yogatherapyassociation.org

We will then dispose of your information by fully deleting any relevant documents and database entries that hold your personal data.

Cookies

Cookies are small text files that are placed on your computer's hard drive by your web browser when you visit any website. Control over your own information

You must be over 18 to use or purchase from Yoga Therapy Association.

It is important that the personal data we hold about you is accurate and current. You must ensure that the detail provided by you on registration or at any time are complete. Please keep us informed if your personal data changes by emailing admin@yogatherapyassociation.org

Verification of your information - when we receive any request to access, edit or delete personal identifiable information we shall first take reasonable steps to verify your identity before granting you access or otherwise taking any action.
